ProHireHQ is an autonomous AI hiring platform operated by Build Don't Beg, headquartered at 249 Central Park Ave Suite 300-90, Virginia Beach, VA 23462. When this policy says "ProHireHQ," "we," "us," or "our," it refers to this entity.

What this policy covers
This Privacy Policy explains what information we collect from employers, staffing agencies, and candidates who use the ProHireHQ platform, how we use that information, how we protect it, and what rights you have over it.
Information we collect
From employers and agencies
- Account information: company name, contact name, email address, phone number, billing information
- Job and workflow data: job descriptions, requirements, hiring criteria, pipeline stages
- Usage data: how you interact with the platform, features used, session duration
- Communications: messages sent through the platform, support requests, demo booking information
From candidates
- Profile information you provide: name, contact details, work history, credentials, certifications
- Conversational intake responses: answers provided during the AI-assisted onboarding process
- Application activity: roles applied for, interview scheduling, pipeline status
- Device and technical data: browser type, device type, IP address, and session data collected automatically
Important: ProHireHQ evaluates candidates based on information you provide directly and through direct interaction with our platform. We do not compile candidate profiles from external data sources without your knowledge. This means ProHireHQ does not operate as a Consumer Reporting Agency under the Fair Credit Reporting Act (FCRA).
How we use your information
We use the information we collect for the following purposes:
- To operate and deliver the ProHireHQ platform and its features
- To match candidates to open roles based on their stated qualifications and preferences
- To send automated communications on behalf of employers and agencies (interview scheduling, status updates, follow-up sequences)
- To improve our AI models and platform performance — using aggregated, anonymized data only
- To respond to support requests and account management inquiries
- To comply with legal obligations
How we use AI in hiring
ProHireHQ uses AI to source candidates, score applications against employer-defined criteria, and facilitate outreach. We are transparent about this in our platform. Specifically:
- Candidates are informed when they are interacting with an AI-assisted intake process
- AI scores and rankings are presented to employers as recommendations, not final decisions
- Final hiring decisions are always made by humans — not by the ProHireHQ platform
- Employers and agencies can review the criteria used to rank any candidate
How we share your information
We do not sell your personal information. We share information in the following limited circumstances:
- With employers or agencies you have applied to or engaged with through the platform — as needed to facilitate hiring
- With service providers who help us operate the platform (cloud hosting, email delivery, analytics) under data processing agreements
- If required by law, court order, or to protect the rights and safety of ProHireHQ or its users
Data retention
We retain employer and agency account data for as long as your account is active and for a reasonable period after account closure to comply with legal obligations. We retain candidate data for the duration of active job search activity plus 12 months, unless you request deletion earlier.
Your rights
Depending on where you are located, you may have the following rights regarding your personal information:
- Access: request a copy of the information we hold about you
- Correction: request that inaccurate information be corrected
- Deletion: request that your information be deleted (subject to legal retention requirements)
- Portability: request your data in a machine-readable format
- Opt-out: opt out of communications or certain data uses

California residents — CCPA
If you are a California resident, you have additional rights under the California Consumer Privacy Act (CCPA), including the right to know what personal information we collect and the right to request deletion. ProHireHQ uses cookies and similar tracking technologies to operate the platform, measure performance, and improve user experience. You can control cookie settings through your browser. Disabling cookies may affect platform functionality.
Security
We use industry-standard security practices to protect your information, including encryption in transit (HTTPS) and at rest, access controls, and regular security reviews. No system is completely secure, and we cannot guarantee absolute security. If we become aware of a breach that affects your data, we will notify you as required by applicable law.
Children's privacy
ProHireHQ is not directed to children under 16 years of age. We do not knowingly collect information from anyone under 16. If you believe we have inadvertently collected such information, please contact us and we will delete it promptly.
Changes to this policy
We may update this Privacy Policy from time to time. When we do, we will update the effective date at the top of this page. We will notify registered users of material changes by email. Your continued use of the platform after any change constitutes acceptance of the updated policy.
